Volunteer, Membership Program and Office Manager 

Chevy Chase At Home (CC@H) is a growing community-based organization providing practical and social supports to help residents age-in-place.  We are part of a national network of "villages" and operate in a fast-paced, results-focused work environment.  This office has 2 part-time staff and is based in Bethesda, MD.  The agency serves Chevy Chase, MD residents.  We offer paid time-off (sick, holiday, and paid leave) plus parking.  The office is in downtown, Bethesda, MD       Part-time:  25 hours a week - $20 hour

The part-time Volunteer, Membership Program and Office Manager will coordinate all aspects of the Volunteer Program while multitasking and assisting a team-oriented Executive Director (ED) with Membership and office support to ensure smooth workflow.  The ideal candidate will have people, tech and organizational skills.

During COVID-19, the agency quickly pivoted to a virtual platform for events and communications.  When quarantining subsides, we will continue with these Zoom events while restarting smaller community in-person events.   We will also restart our traditional volunteer-provided services (rides to and from medical appointments, grocery shopping, home visits, etc.).   

What you will do:  Volunteer and Membership Program Management

  • Collect member service requests, coordinate and schedule volunteer assignments.
  • Maintain the volunteer and services database plus pull monthly and annual reports and information.  (Learn the agency software (Club Express) to draw monthly or annual reports as needed.)
  • With the Volunteer Committee, coordinate new Volunteer Training sessions, as needed.  (Average 4 times a year.)
  • Process required background security checks.
  • Work with the ED to ensure Membership needs and safety issues are addressed.
  • Assist with editing membership materials, including membership renewals, Member Handbook, thank you letters, web content, emails, fundraising appeals, and special marketing materials as needed.
  • Maintain membership database, including input of records, processing membership and lists. Plus, learn the agency software (Club Express) to pull membership reports, as needed.
  • Assist with compiling the Membership Directory, Annual Report, Member Handbook, and other annual document production. 
  • Assist with spring Member Renewal plus fall fundraising appeal production and follow-up.
  • Coordinate, attend and/or manage Zoom and live events, as needed.

 

General Office Systems & Coordination

Work closely with ED to revamp a grassroots membership program to include updating the website, integrating new technologies, social media and virtual platforms.

  • Co-manage the annual calendar and website for membership events, programs.
  • Monitor agency’s general email, phone, and mail communications with donors, volunteers, and the general public.
  • Be responsible for various email communications.
  • Assist in coordinating with various Committees and ED with printing of publications.
  • With the ED, maintain organizational procedures and systems, including filing, banking deposits, billing and scheduling.
  • Assist with upgrading agency technology and systems.
  • Other duties as assigned.


Qualifications

Background and/or commitment to social work or social services.

Familiarity or aptitude in Office365 (Microsoft Word, Excel, Teams). 

Experience working with--and learning--new technology--social media, and other common applications.  

Strong writing and editing skills with graphic sensibilities.

Ability to problem-solve and multitask in a fast-moving environment.

Must be flexible, creative and assume accountability for areas of responsibility.

Strong organizational abilities, including initiative and problem solving.
